Position summary
Oversee digitization of analog resources in support of the Adventist Digital Library and Center for Adventist Research; train, supervise, schedule and manage student workers; and support the daily operation of the ADL web platform by performing regular testing, site monitoring, and public help desk services.
Qualifications summary
Bachelor's degree or higher, project management experience, excellent communication and interpersonal skills in English, familiarity and comfort in a highly technical computer environment managing software and hardware.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
1. Supervise daily operations of the Adventist Digital Library (ADL) Digitization Center at the Center for Adventist Research (CAR).
2. Oversee digitization projects of varying scope, such as complete journal or magazine titles, collections of photos, videos, entire donated libraries, or single-item requests. Ensure projects meet quality standards and are completed on time.
3. Supervise and train staff and student workers, managing schedules and workflow.
4. Maintain ADL digitization standards for scanning, metadata, and archival preservation. Implement and enforce quality control measures for digitized materials (PDFs, TIFFs, MP3s, MP4s). Perform regular quality checks.
5. Oversee creation and management of metadata to ensure discoverability and long-term preservation.
6. Manage and maintain the metadata database (Microsoft Access).
7. Collaborate with Andrews University ITS to maintain back-ups of files generated by digitization workflows.
8. Manage any cloud storage services where digitized objects are stored.
9. Perform tasks at all stages of the ADL digitization workflow, including scanning, post-processing, metadata creation, file back-ups, and repository uploads.
10. Under guidance of the ADL Manager, assist students with regularly creating and uploading article citations, obituary citations, and linked article PDFs for the Seventh-day Adventist Periodical Index hosted by ADL.
11. Ensure proper handling and preservation of materials, coordinating with CAR’s Associate Director on preservation needs.
12. Oversee maintenance of digitization equipment and software, including troubleshooting, requesting equipment replacements, and coordinating repairs. Update software as needed.
13. Provide project updates and reports to the ADL Manager. Conduct regular quality checks and generate reports on digitization statistics, project progress, and website traffic.
14. Serve as the primary contact for technical support, handling web user issues and help desk tickets.
15. In cooperation with the ADL Manager, collaborate with Andrews University departments and other partners of the ADL consortium on digitization projects.
16. Assist and guide ADL content providers in digitization best practices and file preparation.
17. Assist the ADL Manager and CAR Associate Director with budget planning for digitization equipment, software, supplies, and personnel.
18. Perform other duties as assigned by the ADL Board, ADL Manager, and CAR administration.
Supervisory responsibilities
Supervise a team of part-time student workers and coordinate work assignments for full-time staff. Responsibilities include participation in the interviewing and hiring process, significant involvement in employee training and assessing job performance, planning, assigning, scheduling, and directing work.
Qualifications
- Strong organizational and project management skills, with an emphasis on time-management, accuracy, and self-motivation.
- Excellent communication and interpersonal skills.
- Experience training and supervising others is preferred.
- Strong computer implementation, troubleshooting, and related general problem-solving skills.
- Familiarity with MARC, MODS, Dublin Core, and library systems such as Sierra and Folio a plus, but not required.
- Preferred experience transforming from analog to digital, including some or all of the following: works on paper, audio/video, prints and photographs.
- Demonstrable passion for the preservation of historical items, especially Seventh-day Adventist resources regardless of personal beliefs and opinions.
- A long-term, vibrant relationship with the Seventh-day Adventist church structure, institutions, history, and culture is preferred.
- Excellent comprehension of written and spoken English and a high-functioning ability to express oneself in written and oral English are required.
- A second language commonly used at a major international Adventist institution contributing to ADL will be an advantage.
Must be a Seventh-day Adventist in good and regular standing.
Technical competencies
- Proficiency in Microsoft Office Suite required.
- Experience with Microsoft Access is preferred.
- Experience with Adobe Creative Suite, especially Adobe Premier Pro, Photoshop, Bridge, Audition, and Acrobat. Proficiency strongly preferred.
- Advanced computer skills including SQL, Python, and web design and testing principles and practice are preferred.
- Familiarity with video editing software (such as DaVinci Resolve and Handbrake), OCR software (such as Tesseract or ABBYY), file management and cloud storage management tools are preferred.
- Experience troubleshooting and providing maintenance and support for computer hardware, software, and scanning equipment desired.
Interpersonal interactions
Will have extensive and often daily written, telephone, e-mail, and in-person contact in English with personnel inside and outside of Andrews University, the Adventist Digital Library and the Center for Adventist Research. Will daily interact with students to provide training and advice.
